We’ve released a trio of new features designed to make life easier for venues and more intuitive for hosts: an Event Wizard for the pipeline, custom images for the Host Portal, and a brand new Function Sheet for on-the-day operations.
Together, these updates help venues move seamlessly from enquiry to event delivery, while giving hosts a clearer, more personalised experience.
From Enquiry to Event in a Few Clicks: The New Event Wizard
Managing incoming enquiries can be one of the most time-consuming parts of running a busy venue. The new Event Wizard for the Pipeline transforms this process by allowing venues to quickly create events directly from enquiries.
Using Event Templates, teams can standardise how different event types are set up - whether it’s a wedding, corporate away day, private dinner, or large-scale celebration. Instead of building each event from scratch, users simply:
- Select the enquiry in the pipeline
- Launch the Event Wizard
- Choose an appropriate Event Template
- Auto-populate the event with predefined structure, timings, and key details

This reduces admin time, ensures consistency across events, and helps teams respond faster to potential clients—boosting both professionalism and conversion rates.
A More Branded Experience: Custom Images for the Host Portal
First impressions matter, and Hostology’s custom Host Portal imagery feature gives venues greater control over how they present themselves to their clients.
Hosts are now greeted with visuals that reflect their venue.
For venues, this is an easy win: it turns a functional planning tool into an extension of their brand, reinforcing identity and elevating the overall client experience.

Operational Clarity: A Custom Function Sheet for Event Day
On the day of an event, clarity is everything. The new Function Sheet feature allows venues to create custom, operationally-focused documents tailored to their own workflows.
With the Function Sheet, venues can:
- Build a custom layout that reflects how their teams work
- Include key timings, spaces, resources, staffing, and notes
- Ensure everyone on the team is working from the same, accurate document
Venues can now create a function sheet that matches the way their front-of-house, kitchen, operations, and coordination teams actually operate - fewer miscommunications, clearer responsibilities, and smoother execution on the day of the event.
