Guest management

Guest management that gathers itself

The host adds their guest list. Guests RSVP, add their dietaries, book their rooms and choose their meals. All of it comes straight back to the venue, ready for the kitchen, the front-of-house team and the room list.

A host's guest list: each guest's RSVP status, the parts of the event they are invited to, and their dietary requirements.

RSVPs and dietaries

On Hostology, each guest gets a link from their host and confirms their own RSVP, meal choice, allergen and room booking without needing an account. Every response flows into the venue dashboard against a named guest and a table. Dietary lists arrive ready for the kitchen; table plans update as RSVPs land.

Guests serve themselves; you stay in control

  • Guests do their own admin

Every guest gets a link, no account needed. They RSVP, choose their meal, add a dietary or an allergen, and confirm their room. The venue does not chase anyone.

  • Dietaries and allergens land ready for the kitchen

Every meal choice and every allergen is captured against a named guest and a table. Ready for the caterer, without a last-minute spreadsheet on the Thursday.

  • Table plans that reflect the real event

Drag and drop, or work from the guest list. Table plans update live as RSVPs and dietaries change.

  • The host and the venue can see the same thing

The venue always has the master view. The host gets the parts you choose to share, so they can help without stepping on your team.

  • The venue's guest list for one event: each guest's RSVP status, the part of the day they are invited to, and their dietary requirements and allergens.
  • A host seating guests at a table, with gluten-free and dairy-free chips on the seats that need them and warnings for guests who have declined or not yet replied.

How it fits into your venue's day.

  • 01

The host adds the guest list

Inside their portal, either in one go or a table at a time.

  • 02

Guests get a link and RSVP

No login. They accept the invitation, add their meal choice, flag a dietary and choose their room.

  • 03

    Everything lands with the venue

The dashboard shows RSVP status, dietaries, meal choices and room assignments per event.

  • 04

You hand a clean list to the kitchen and the front-of-house team

The Thursday-before spreadsheet stops being a Thursday-before spreadsheet.

Every guest answer lands in the live plan

Each RSVP, meal choice and room booking appears in the venue's plan the moment a guest makes it: the same plan the team, the host and the kitchen are already working from.

Common questions

Do guests need to create an account to RSVP?

No. Guests use a link from their invitation. They can RSVP, choose their meal, add a dietary and confirm their room without logging in.

Can the host manage the guest list, or does it have to be the venue?

Either. Most venues let the host manage the guest list and table plan, and step in for the parts the host wants help with. The venue always sees the whole picture.

What happens if a guest changes their meal choice after the deadline?

You choose when to lock the list. Before lock, changes flow live. After lock, changes flag with the venue for approval.

Can we use this for events that are not weddings?

Yes. Anywhere you need RSVPs, dietaries and table plans, guest management works the same way. Private parties, corporate dinners, celebrations of life.
