Too many notifications? Filter out the noise!

The Hostology team rolled out a big update on the platform yesterday, introducing a new feature to help save time! (and also improving the performance of the platform by removing some known bugs!)

When you next log in to the platform, you will be able to see the new feature on your notifications page, allowing you to filter notifications based on different categories, so you can get to the information you need more swiftly:

You can then clear all filters using the reset button.

We will be adding to this feature very soon, allowing you to automatically filter out any notifications on work you have done.

Workflows have landed…

Hostology is all about Planning, and what better than a shared list for your team and your hosts/ couples of key milestone points along their planning journey?

Our new Workflows tool lets your team pre-set a list of Milestone meetings and reminders, anchored to the event confirmation date or the event date itself, and for any type of event – wedding, corporate – the choice is yours.

Simply create your workflow template once, telling the system how many days/ weeks or months before the event or after the confirmation day you want the milestone to appear and let Hostology do the rest. Import your new workflow into a newly added event with one click!

Check out our updated Calendar!

Those of you logging into Hostology this morning will notice that your Venue Calendar looks a little different. We’re excited to introduce a new Calendar view that makes finding key event information faster and easier. Read on for more on our Calendar update…

Event dates: View the actual event days clearly in full colour, with the full event duration showing in a knocked back hue. So you can see exactly when your event spaces are being used, as well as your Hosts’ arrival and departure time.

Event status: Keep track of pencil bookings and opportunities. Pencil bookings have a new cross hatched style, whilst opportunities show in white with a colourful boarder.

Team colours: an auto assigned colour for each team member, so you can see exactly who is managing which event.

Clearer Year view – Too many events in one month, click the three dots at the bottom of the month to view a pop up list of all events.

Event Timeline: Click to view event milestone meetings on the calendar

ToDos: Click to view your team’s event tasks due on any day

New Features: Host Collaboration

We are excited to be putting the final polish on our new host collaboration features. At your control, Hosts can edit their itinerary, tweaking the exact timing of key moments from the ceremony to the wedding breakfast, as well as adding notes, selecting menus and updating their food and drink numbers. Collaborating with your host has never been easier.

Below shows how a venue can ‘lock’ or ‘unlock’ an itinerary items depending on whether they want it to be editable by the host:

 

An ‘unlocked’ itinerary item means that the host can edit that item when they log into The Platform, this way your hosts can choose their menus, food and drink items, and even edit the location time and notes:

Hostology has had an event Notes section for a while but next week we are expanding Notes to include sharing and reordering. Share a note with your host and let their comments come through, quickly working together to finalise the finer details of the event together.

We’ve also added in ordering of notes, letting you can place the most important or time prescient ones at the top of your PDF download. Brilliant!

NHS Test & Trace app launched and dovetails with Hostology

Tomorrow the NHS test & Trace App is launched, including instructions for any venue to register and encourage the collection of contact details for their visitors. Every venue must download and display the NHS Poster (it contains a QR Code), in both the Management Offices any other public/guest entry point. Any visitor can then download the App and scan the QR code to add their details.

However – the NHS state that all venues must offer a manual alternative.

And this is where our new consent gathering feature can help. Hostology’s powerful collaborative supplier and guest management tools offer you and your customer full supplier and guest-list management, not to mention built-in consents and compliance to cover licensing, insurance and dietary complications.

With Hostology powering up your venue, your party hosts and couples can gather consent and phone numbers for each party lead on their guest-list, then download the attendees to allow you to mark each guest’s time-in / time-out.
